The role
As HR & Systems Coordinator you are involved in the whole employee life cycle and have an active role in simplify processes to ensure operational excellence and the smooth functioning of our HR tools (HRIS, Employee Engagement, Absence, etc). You make it easy to convey information with a people first manner and a hands-on approach to inquiries or requests within the wide HR operations area. The role will includes but is not limited to:
HR Tools super-user
- Play a key role in maintaining our HR tools, implementing new and improving existing modules to optimize system use. Responsible for guaranteeing data accuracy, improving and maintaining processes and data integration from all geographical markets.
- Develop and improve the operational use of the systems withing the People & Culture team and throughout the organization, supporting the business requirements and needs.
- Take an active part in tracking and presenting KPIs of people data, delivering reports as needed for internal and external stakeholders. Collaborating in auditors’ requests ensuring compliance and GDPR actions.
HR Administration:
- Elaborate and manage new hire contracts, terminations and all other employment-related documents, ensuring seamless alignment with the internal approval processes.
- Ensure correct data transfer from the company’s HRIS to the payroll team, performing checks before each monthly payroll cycle.
- Support the Compensation & Benefit Manager with key administrative tasks in Comp & Ben processes, benefits and job architecture.
Support to Managers and Employees (via E-mail/Service Desk, personal attendance or remote) to inform and guide the organization in HR-related processes.
You will have an important role to drive and engage initiatives and projects aiming to improve HR processes in general, the overall HR Service delivery and the HR system landscape. This includes both the responsibility to identify and present potential improvements, as well as to ensure efficient sharing of knowledge and information within the team.
What we’re looking for
We understand you may feel confident ticking certain boxes more than others and that’s why we always keep an open mind in our recruitment process. But, in order to thrive in this role, we do believe you’ll have at least some experience in the following:
- You have a bachelors degree in a related field and 2+ years of HR experience, preferably an administrative or systems role.
- You can work independently and have a hands-on and a pro-active attitude.
- Knowledge of common HR areas and processes.
- Strong communication skills and are able to interact with stakeholders at all levels.
- You are service minded and have structured work habits, been able to coordinate complex process flows and deliver administrative services with high quality.
- You are a team player who is humble, cooperative and with the interpersonal skills necessary to build and maintain positive relationships with your team, co-workers and external partners.
- Fluent in both Swedish and English.
