The role
As a Front Office Receptionist, you are Viaplay’s first point of contact and help create a professional, welcoming, hotel feeling environment and service-oriented experience for visitors and employees. You ensure smooth daily operations within the Front Office through excellent service and efficient administrative support.
You manage visitor reception, communication channels, and meeting logistics, while maintaining an organized and presentable front office environment. Working closely with the Front Office Manager and the Facility team, you provide flexible support across administrative and operational tasks and contribute to a strong service culture. We are looking for a junior candidate who is eager to develop as a Front Office Receptionist, and who believes this is the career path they want to pursue long-term.
Key Responsibilities:
• Welcome and assist visitors with professionalism and care.
• Manage email correspondence and inquiries.
• Coordinate meeting rooms, calendars, and basic logistics.
• Manage mail, packages, and document administration.
• Maintain a tidy and welcoming reception and common areas.
• Support the Facility team and Front Office Manager as needed.
• Follow company policies related to security, access control, and GDPR.
What we’re looking for
We understand you may feel confident ticking certain boxes more than others and that’s why we always keep an open mind in our recruitment process. But, in order to thrive in this role, we do believe you’ll have at least some experience in the following:
• Office tools: Proficiency in Microsoft 365 (Outlook/Word/Excel/PowerPoint/OneNote), Canva, Jira.
• Communication tools: Digital communication channels (email, Teams/Slack).
• Visitor systems: Managing visitor check-in/out, and basic security procedures.
• Experience in document & information management.
• Basic understanding of security procedures and GDPR.
